The Challenge

Calne Food Bank exists to support people in crisis. Run by volunteers and serving hundreds of households across the local community, the organisation depends on efficient, accurate operations — not because efficiency is an end in itself, but because every minute spent on admin is a minute not spent helping people.

For years, everything was manual. Household registrations were managed on spreadsheets. Visit records were logged by hand. Reporting was time-consuming and error-prone. And as demand grew, so did the administrative burden on a team of volunteers who were already giving their time generously.

The food bank began exploring off-the-shelf software solutions to address this. What they found was a market of generic tools — built for broad use cases, not for the specific operational realities of a community food bank. When Digital Trading was approached for a quote on a bespoke solution, the figures came back at a comparable cost to the off-the-shelf alternatives — but with something those packages couldn’t offer: a system built precisely around the way Calne Food Bank actually works.

The decision to go bespoke was straightforward.

The Solution

This project was built using Digital Trading’s Vibe Code to Production methodology — an AI-assisted development approach that uses Claude AI to accelerate the entire build process, from detailed requirements through to production-ready code. Rather than replacing engineering judgement, vibe coding amplifies it: the result is a faster, more cost-effective delivery without any compromise on quality, security, or fit. It is one of the reasons a fully bespoke solution could be delivered at a cost comparable to off-the-shelf alternatives.

The platform was built across five delivery phases, each addressing a distinct operational need. Household records are created and maintained with full registration details, duplicate prevention, and audit history. Volunteers can check in a household, verify their identity with a simple security password, and issue packages in under fifteen seconds — with the system automatically checking eligibility rules in the background and flagging or blocking where needed.

Guardrails are built in throughout. The system enforces collection day rules (Monday, Wednesday, and Friday only), prevents more than two collections in any rolling seven-day period, and logs every override with a reason — giving the food bank a clear, auditable record of every decision made. Volunteers see only what they need to; sensitive data is protected by role-based access control.

Admins can manage the full package catalogue, configure rules and thresholds, and export data in formats that match the food bank’s existing Excel reporting structure exactly — preserving continuity with years of historical data. Monthly PDF reports are generated automatically from a template, populated with live data, and available in both internal and anonymised external versions.

The interface was designed to be simple enough for any volunteer to use on their first session — because in a busy food bank environment, there is no time for a steep learning curve.

The Result

Hours returned. Volunteers delighted. A community better served.

Calne Food Bank now serves over 500 registered households — supporting more than 1,000 people across the local community — on a platform that handles the administration automatically and accurately.
